For over three decades, WISE have empowered disadvantaged job seekers to find meaningful employment.
Australia’s leading not-for-profit employment services provider, WISE are passionate about ‘enabling people to realise their potential’ and changing lives.
With a formidable national footprint and over 1600+ employees, WISE delivers major contracts such as Inclusive Employment Australia (IEA) and Workforce Australia (WFA). They’ve established offices in South Korea and Hong Kong too, under the WISE Group.
WISE runs social enterprises such as Clean Force, Peppergreen Farm, and Equity Labour Services and continues to grow its NDIS operations.
Fragmented project management processes made it impossible for WISE to maintain visibility, streamline governance, or foster collaboration. They needed a unified way to plan, manage, and track their growing project portfolio. edison365 enabled WISE to unify their projects into a single, intuitive, secure platform, transforming the way they deliver initiatives and drive meaningful change.

Challenges
So, what was WISE’s biggest challenge? A fragmented project management environment.
Before partnering with edison365, WISE juggled a mix of tools to handle their projects. This impacted the way they delivered initiatives.
System-based projects were managed using JIRA and Confluence, and non-system projects were manually tracked through spreadsheets, SharePoint, and network drives. This made it difficult for teams to ensure transparency, set standard processes, or produce insightful reports.
“It was difficult to manage projects and programmes, and almost impossible to do reporting. Since everything was manual, it took a lot of admin time. It just wasn’t the optimal way of doing things.”
Kon Stoilas, Head of PMO
As the organization’s portfolio grew, the need for a project management software that aligned with Project Management Institute (PMI) best practices and empowered digital transformation became more evident.
Solution
When WISE established their Project Management Office (PMO), they knew they had to find a configurable, secure, business-first solution.
After an extensive benchmarking process and thoroughly evaluating a number of solutions, they found a clear winner – edison365.
“We needed a system that could adapt to our business, not the other way around,” says Kon. “edison365 offered that flexibility… and it aligned perfectly with our governance framework.”
edison365’s flexibility and its deep integration with Microsoft365 made it the standout choice.
As a government partner managing sensitive data, security was also crucial. WISE had to meet strict information security standards, including certifications like ISO and Right Fit for Risk requirements.
With edison365 hosted securely within their Microsoft environment, compliance was never an issue, with no compromises on usability.
Onboarding
The Onboarding Experience ✨
The edison365 onboarding process was ‘very smooth and very easy’, credited to a knowledgeable onboarding team and the edison365 platform itself.
Working closely with Poppy, the edison365 Onboarding Manager, WISE were able to ensure the platform was configured to mirror and enhance the way they do business.
Based on their discussions, edison365 experts were able to configure to suit WISE’s business needs. “I’d rate the edison365 onboarding experience highly,” says Kon, “we were able to configure the system easily”.
Once the initial setup was completed, the team was able to confidently navigate, maintain, and further build the system.
Now, with the Pathfinder package in place, WISE leverages edison365’s customer success services. With the unmatched expertise of the Pro-Services team at their disposal, WISE is able to discuss processes, tools, and reports with experts, making it a lot easier and seamless.
Results
Introducing edison365 completely changed the way WISE delivered projects. It meant no more juggling tools, scattered information, or lack of insights.
Within months, 25 projects were successfully and seamlessly migrated to the system, improving visibility, ensuring compliance, and fostering collaboration. Everything’s just a click away – project status, potential risks, issues, and reports.
WISE doesn’t have to flip through slide decks or spreadsheets to see the progress anymore. With edison365 they unlocked powerful real-time dashboards, insightful reports, and accountability, giving them everything they needed to make confident, data-driven decisions.
Comprehensive reports are at your fingertips, making it a lot easier to keep stakeholders informed, too.
Besides, now that everything’s on one platform, collaboration is a lot easier, especially for multi-department projects.
Turns out, some of edison365’s best benefits were ones the WISE team hadn’t anticipated.
One of the features the WISE team is most impressed with is edison365’s personal dashboards. These dashboards offer absolute visibility, making sure everyone can see their tasks, actions, risks, reports, and more, in real-time. Updates are always just a click away, enhancing productivity and keeping things running smoothly.
Another unexpected benefit was the licence flexibility, allowing WISE to transfer licenses between users when they switch projects. With a large and dynamic workforce, this made things a lot easier for WISE.
Their advice? ‘Make the most of the onboarding.’ The team emphasises that it’s important for teams looking to choose edison365 should take full advantage of the onboarding process as it made all the difference in getting the system configured and ready to use a lot more quickly.
With their project management capabilities thriving, WISE is keen on evolving their idea management capabilities, too. There’s a lot of excitement about edison365’s idea management capabilities, which could truly enhance the way WISE empowers continuous improvement.
As their use of edison365 evolves, their enthusiasm to adopt new capabilities such as Kanban boards, Timesheets, etc., grows too. They’re working towards optimizing resource management, capacity planning, and visibility across their PMO.
We’d like to thank Kon Stoilas, Head of PMO at WISE Employment, for taking the time to share how edison365 is helping them deliver initiatives more efficiently. We’re excited to see what the future holds for WISE Employment, and look forward to continuing to support their important work.
